A Dutch address for a company run from abroad

We supply a Dutch business address under a written service contract, with reception work and nothing else: "domicile only", in DNB's term. The KVK accepts such a contract as proof of use (KVK, proof of address). The address is one part of Dutch company registration; the Amsterdam wording has its own page: virtual office netherlands.

It serves a new BV whose notary needs an address for the registration, an existing BV moving its address, and a foreign company registering a Dutch establishment. Forming the BV is a separate service, contracted on its own: our Dutch BV service. First, "registered office" means three things in Dutch law, and only two are ours to supply.

A written service contract

It states exactly what you use: the postal address with reception work, or a workstation with access during opening hours. The KVK accepts it as proof of use.

Your postal address in the Business Register

In every case: every registration may carry a postal address, and the KVK calls virtual-office contracts postal-address contracts.

The visiting address, only where the test is met

Someone works there, the official is present on a regular basis, with access to a workstation for a significant part of the work. Occasional use disqualifies it.

The filing that puts the address on the record

For a new BV, the contract goes to the notary, who files the registration. For an existing BV, we prepare the filing for the director: My KVK or form 14.

Client due diligence, before signing

Identity, UBO, ownership structure, purpose and the signatory's authority. The Wwft requires this of us before any relationship starts (art. 3(2) and 5(1) Wwft).

Where our service stops

We never keep the books, draw up accounts, file tax returns, give legal advice or find a director for a company that uses our address.

Will anyone actually work from the address?

That answer decides whether the address can be your visiting address or only your postal address.

Documents you will need

For our due diligence (art. 3(2) Wwft); proof of home address is our request, not the law's.

  • A valid passport or national ID for every director and the signatory
  • UBO details and, for a layered structure, an ownership and control chart
  • The deed and articles, or the draft deed for a BV in formation
  • A short statement of the business's purpose and nature
  • Evidence that the signatory may represent the company
  • Confirmation that you take no bookkeeping, accounts, tax-return or legal work from us

For the KVK:

  • The signed service or rental contract, dated on or before the change
  • Online: the director's DigiD; by post: form 14 and an ID copy, photograph made unrecognisable
  • A foreign company's establishment: proof of the right to use a non-residential visiting address
  • A formally foreign company: the declaration, by the directors in person, not by proxy (art. 2 Wfbv)

What most often goes wrong with a Dutch address, and how it is handled.

A seat move quoted as a KVK filing, or a contract dated after the move

The seat needs a notarial deed of amendment. The address needs a contract dated on or before the change. We check both before anything is filed.

A provider that may not give you a visiting address

In a multi-company building the lessor must be registered at the address with the letting activity; the search is free. Address plus bookkeeping or a director means DNB's register.

A postal-address change the tax office never hears about

The KVK passes on only a visiting-address change, and to no other organisation. A postal-address change the company reports to the Belastingdienst itself.

Will the KVK accept your address as my company's registered office?

As the postal address, yes: the KVK describes such contracts as ones you can use as a postal address. As the visiting address, only if the business is actually carried on there, with the official present on a regular basis and access to a workstation where a significant part of the work is done. Occasional use does not count.

Can a BV whose directors all live abroad register at your address?

The postal address, yes. A legal person always records a visiting address too, even without an enterprise or an establishment (art. 15 Hrb 2008), and the KVK requires regular presence there. The KVK has not published its practice for a BV with nobody working in the Netherlands, so we state the rule and promise nothing more.

Is changing the registered office the same as changing the address?

No. Moving the statutory seat to another municipality amends the articles, which takes a notarial deed in Dutch on pain of nullity (art. 2:234(1) BW); the notary passes the change to the KVK. Changing the visiting or postal address is a KVK filing, free of charge, made within one week of the change (art. 20(2) Hrw 2007).

Can you also do my bookkeeping, annual accounts or tax returns if I use your address?

No. Our address plus bookkeeping, annual accounts, tax returns or legal assistance for the same company is a trust service that needs a DNB licence (art. 1(1) Wtt 2018, limb b), and art. 3(4)(b) Wtt 2018 forbids activities aimed at both. We hold no such licence. A client takes our address or those services, never both.

Why do you need my passport and UBO details before I can sign?

The Wwft requires us to identify you and verify your identity, and to establish the UBO, the ownership structure, the purpose of the relationship and the signatory's authority (art. 3(2) Wwft). It forbids us to enter the relationship until that is done (art. 5(1) Wwft). The duty applies to every client of a domiciliation provider.

Does a Dutch registered address make my company Dutch for tax?

A company incorporated under Dutch law is always deemed established in the Netherlands for corporate tax (art. 2(5) Wet Vpb 1969) and for dividend tax (art. 1(3) Wet DB 1965). Where any body is actually established is judged on the facts (art. 4 AWR). An address neither creates nor removes that. This page gives no tax advice.

What is a registered office in the Netherlands?

Three entries. The statutory seat is a municipality named in the articles (art. 2:177(1) BW), and it must lie in the Netherlands. The visiting address and the postal address are recorded in the Business Register (art. 11 and 14 Hrw 2007). We supply the addresses; the notary fixes the seat and changes it by deed.

What are the business address requirements in the Netherlands?

The address must exist in the BAG and suit the building's designated use, and a visiting address is never a PO box. The official is present there on a regular basis, and the company proves its right to use the address. In a multi-company building, the lessor must itself be registered there with the letting activity.

How do I change my company's registered address in the Netherlands online?

A director files the change in My KVK with DigiD, attaching a document that proves the right to use the new address, dated on or before the date of the change. The change is free of charge, must be reported within one week (art. 20(2) Hrw 2007) and is processed in 3 working days.

I live abroad and have no DigiD. How do I change the address?

Use form 14 by post: the signed form with a copy of the signatory's valid ID, the photograph made unrecognisable. The KVK processes a change by post in 7 working days. Whether a foreign ID copy and a signature made abroad need legalisation is not published, and we do not promise acceptance without it.

Does the KVK tell the tax office about my new address?

Only about the visiting address. The KVK passes a change of visiting address to the Belastingdienst, but a change of postal address the company must report to the Belastingdienst itself. The KVK passes an address change to no other organisation, so every other body hears about it from the company.

How do I check a company's registered address in the Netherlands?

Search the Business Register free of charge by name, address or KVK number. In 2026 an online extract view costs EUR 2.95, and a certified extract EUR 9.60 digital or EUR 19.20 on paper. What is registered is what counts legally: an unreported move leaves the old address in force against the company.

What is an LLC in the Netherlands?

The closest Dutch form is the BV, the besloten vennootschap, a private company with limited liability. A notary executes its deed of incorporation and registers it with the KVK, including its statutory seat and its two addresses. That statutory seat must lie in the Netherlands (art. 2:177(3) BW).

Is registration in the Business Register mandatory?

Yes, for a legal person with its seat in the Netherlands, whether or not it trades (art. 6(1) Hrw 2007). The registration always carries a postal address (art. 15 Hrb 2008). Registering a new company costs a one-off EUR 85.15 in 2026, the same for every legal form; changing an address later costs nothing.

Can you work in the Netherlands without a registered address?

That question is usually about a person, not a company. A person's address is recorded by the municipality in the BRP, a different register from the KVK's Business Register, and this service does not cover it. A company, by contrast, always records a postal address in the Business Register (art. 15 Hrb 2008).
